Are you planning to design or renovate your company’s restroom facilities?
If you want to understand how much an organisation cares about its people, take a look at its toilets.
It may sound provocative, but anyone who has worked in different organisations knows that these spaces often reveal important aspects of company culture and the level of care shown towards those who use the workplace every day.
Consider how much time we spend away from home. Offices, manufacturing plants, logistics warehouses and corporate premises become places where people spend many hours each day. In this context, toilet facilities are not merely a mandatory requirement; they are a tangible part of the employee experience. Yet, when designing or refurbishing workplace environments, restrooms are often treated as a secondary consideration.
Well-designed toilets are not an additional expense: they are an investment that contributes to the overall quality of the workplace as well as the wellbeing of the employees.
At SANO2, a brand of Prefabbricati Santerno dedicated to self-cleaning public toilets, we support public authorities, facility operators and designers in creating state-of-the-art facilities that enhance the perceived value of a space, simplify management and maintenance, and contribute to people’s well-being.
In this guide, we explore the key factors to consider when designing corporate restrooms, the most common mistakes to avoid and how to identify solution that best meets the needs of your organisation.
A GUIDE TO THE DESIGNING RESTROOM FACILITIES FOR BUSINESSES
Why are corporate restrooms more than just a regulatory requirement?
When designing or refurbishing workplace restroom facilities, there is a risk of focusing solely on the question: “Are we compliant”?
Of course, meeting regulatory requirements is essential. However, compliance alone does not necessarily mean that a facility meets the real needs of an organisation. The most successful projects do not start solely from technical requirements, but from a broader question: “How will this space be used over time, and by whom?”
This is where the difference lies between a service that is merely compliant and one that is genuinely effective.
Which characteristics should a modern corporate restroom have?
Although regulations vary from country to country, several common principles guide the design of workplace toilet facilities.
These include providing an adequate number of units for their prospective users, ensuring accessibility for people with disabilities, installing sufficient washbasins and water points, maintaining proper ventilation, supplying appropriate hygienic products, guaranteeing privacy and safety, and organising the space in a way that reflects its intended use.
Equally important are ease of cleaning and the ability to keep high standards of maintenance and functionality.
Increasingly, companies are choosing to include toilets as a part of a broader employee facilities strategy, integrating them with changing rooms, showers, break areas, vending facilities, refreshment spaces and other amenities that support day-to-day working life.
The most effective solutions are those that successfully combine regulatory compliance, a high-quality user experience and the ability to meet people’s everyday needs.
What is the relationship between corporate toilet facilities, employee wellbeing and employer branding?
In recent years, many organisations have invested significantly in their ability to attract, engage and retain talented people. Terms such as employee wellbeing, employee experience and employer branding have become central to business strategy.
When discussing these topics, attention is often focused on benefits packages, training opportunities or flexible working arrangements. Much less attention is paid to the physical environments people use every day.
Yet, restroom facilities also shape perceptions of an organisation. A toilet that is dirty, inadequate or frequently out of service is quickly seen as a sign that little attention is paid to the employees’ needs. Conversely, facilities that are clean, accessible, well-stocked and properly-maintained reinforce the image of an organisation that genuinely values the quality of the workplace experience.
Employee wellbeing is not measured solely through benefits; it is also reflected in the quality of the spaces people use on a daily basis.
In an increasingly competitive labour market, these factors can help not only to attract new talent but also to strengthen employees’ sense of belonging and encourage long-term retention.
How to choose the best solution for restrooms inside companies?
When we are involved in refurbishment projects, the main challenge rarely concerns the choice of sanitary ware or finishes. The most common issues usually arise much earlier, during the assessment stage.
One of the most frequent mistakes is designing identical configurations for completely different environments, without considering that offices, manufacturing plants and logistics hubs all have fundamentally different usage patterns.
Another common error is focusing exclusively on the initial investment, while overlooking factors that will affect management in the years ahead.
For this reason it is always advisable to start with the context before considering the product itself.
The number of users, frequency of use, accessibility requirements, maintenance needs, long-term durability, available spaces and the nature of the activities carried out on site should all inform design decisions.
There is no such thing as the perfect corporate restroom. There is only the solution that best suits the organisation, the people who will use the facilities and the way they will need to be managed over time.
When can a self-cleaning toilet really make a difference?
As usage levels increase, maintaining consistent standards of hygiene throughout the day becomes a significant operational challenge.
Manufacturing plants, logistics hubs, staff service areas, mobility hubs and car parks used by employees and visitors can experience dozens or even hundreds of visits every day. In these environments, service quality depends not only on scheduled cleaning routines, but also on the ability to keep facilities hygienic, functional and welcoming between cleaning interventions.
For this reason, an increasing number of organisations are choosing self-cleaning solutions designed to maintain consistently high standards while simplifying day-to-day facility management.
SANO2 S3 series has been developed specifically for these demanding environments. After each use, the system automatically initiates a cleaning and sanitisation cycle that includes toilet bowl cleaning using EASYTECH® technology, cleaning of the surfaces surrounding the sanitary fixture, floor washing with water and disinfectant, and full preparation of the facility for the next user. The entire process takes less than 35 seconds. At the end of each cycle, the system automatically checks the status of its key functions as well and consumable supplies before making the facility available again.
Suitable for both outdoor and indoor installations S3 technology can be integrated into existing restroom facilities or incorporated into new precast units. Touch-free components, automatic washbasins including water and soap dispensing, accessible solutions for people with disabilities, low water and energy consumption and simplified maintenance procedures all contribute to maintaining a consistently high level of service over time.
The goal is not merely to automate the cleaning process, but to guarantee a reliable standard of hygiene, comfort and usability regardless of the number of daily users.
What role do toilet facilities play in ESG and corporate sustainability goals?
In recent years, ESG has become an increasingly important part in corporate strategy. The acronym ESG refers to the three pillars used to assess an organisation’s sustainability performances:
- Environmental: the management of natural resources, energy consumption and environmental impact;
- Social: the organisation’s commitment to employees, users, communities and inclusion;
- Governance: the quality of decision-making process, transparency and the ability to plan sustainable long-term investments.
Public toilets as well can contribute to reach these goals.
From an environmental perspective, choosing solutions designed to reduce water and energy consumption can help lower the overall impact of a building. Similarly, the use of durable and long- lasting materials reduces the need for frequent replacements and major interventions over time.
From a social perspective, restroom facilities are among the spaces that must provide equal access and usability for everyone. Accessibility, safety, privacy and service availability all have a direct impact on the day-to-day experience of people using the workplace.
The governance component is equally relevant. Designing restrooms facilities with future maintenance requirements in mind means adopting a long-term approach, that considers not only the initial investment, but also maintenance needs, durability, service continuity and operational costs throughout the lifecycle of the facility.
For this reason, an increasing number of organisations regard toilet facilities as an integral part of policies of their building sustainability policies and broader workplace quality strategies.
A restroom designed for long-term performance, efficient resource use and accessible, reliable service can make a meaningful contribution to an organisation’s ESG objectives.
How much does a corporate public toilet cost?
There is no single answer that applies to every situation.
The overall cost depends on a range of factors, including the number of users, expected usage levels, available spaces, whether existing facilities need to be refurbished, and the additional services that may be incorporated into the project.
For this reason, every project should begin with a thorough assessment of the organisation’s requirements.
The most cost-effective solution is not necessarily the one with the lowest upfront cost, but the one that delivers the best balance between investment, operational efficiency and long-term durability.
